I need to change the credit card on file. How do I do that?

For changing the credit card on file; first, go to any Paid Invoice sent by email; secondly, in email find the personal billing link and click on it. Lastly, update the card on file manually at your convenience.

I have changed my company name. How do we update our agreement and my account?

Clients must send proper documentation through email; in addition, any change to their account must be in writing. Proper documentation is a Fictitious Name or Secretary of State filed forms. Lastly, our company is not responsible for any services being performed by any other individuals or entities except named in the Agreement.

How is this applicable to Business Licensing?

Clients can use our address for their business address for local business license requirements. The clients industry must be permitted for our location through the local business licensing authorities. Lastly, for business requirements refer to the city's local licensing authority. Can I add another company to my account?

A.

All Virtual Office and Phone Answering agreements are strictly bilateral that are entered into by BSSI. The agreement is not between individuals with multiple companies but rather ONLY between 2 companies. The agreements cannot be assigned to another company. If a client company has a DBA, you must provide proof of the local Fictitious Name filing. BSSI is not responsible for any services being performed by any other individuals or entities except named in the Agreement. Lastly, if a client wants to have multiple accounts for multiple companies, there are applicable discounts. Contact BSSI Support.

Can I get listed on the Suite Directory?

Can I use a Private Office or Conference Room when I need it?

We provide private space for one-on-one interviews or a large space for meeting area. Our facilities are available on a reservation basis subject to location and availability; furthermore, to review rates and availability please contact us at: 888-909-2774.

What forms of payments are accepted?

Cash and Checks or not accepted, in addition, all customers are part of our automatic monthly credit card payments. The 1st of the month all credit card payments are charged. Major credit cards are only form of payment accepted for service fees.

If I terminate services, do I keep my assigned phone number?

Customers purchase the right to use telephone numbers through our service agreement. BSSI phone numbers are assigned to customers but are property of the phone service provider. The customer account must be active for them to have rights to the assigned phone number.

How much is mail forwarding?

The cost of forwarding your mail plus handling are the fees for mail forwarding.

Do you accept parcels and courier packages?

A.

We accept United Postal Service, Federal Express and other Couriers envelopes and packets (business documents). Our company is unable to accept any item exceeding 10 pounds in weight or larger then 11-7/8 x 13-5/8. We also do not accept any item that contains any dangerous, live or perishable good.

Can I pick up my mail?

Absolutely yes, during regular weekday office hours.

How does the mail forwarding work?

A.

The mail forwarding schedule is weekly. The customers mail is forwarded through placing their unopened into an envelope or packet then mailed to a destination the customer provided previously. We do not forward 3rd class mail. 3rd class mail defined as advertising and addressed to resident or occupant. Unless you specify on the Mail Handling Privileges form 3rd class mail will not be sent to you. Time sensitive mail can be adjusted to a different schedule if customer gives us a 24 hour notice.

What are the additional charges I should be aware of?

A.

Administration charges may occur when reviewing or handling of mail occurs. Meaning, if the staff has to do additional work then agreed upon then additional cost may apply. When the pay per call bundle amounts are surpassed additional fees apply. lastly, international long-distance connections fees will be applied. Onsite faculties such as copy machine and meeting space will have charges incurred.

What is required to set up service? What are the setup fees? How long does it take to have my services live and ready for use?

A.

A copy of the customers drivers license or passport is necessary for signing-up. In addition, a credit card will be needed as well. When your information is received the package setup and first months monthly service fee will be charged. A minimum of 48 hours is required for an Virtual Office setup. Most often within 24 hours a phone answering package will be setup. We will send emails as to your account status.

Can my company name be physically listed at the location?

Customers company name will be available at the office center on the physical directory. Please check for this service offering per location; consequently, the Suite Directory Listing has a monthly charges.

Can I get listed with the local 411?

A.

Yes, our staff can have your assigned phone number and business address listed with the local 411. A one-time setup fee and monthly listing charges apply.

What is an Additional Voicemail Box?

A.

Every communication package comes with one voicemail box; in addition seven dialing extensions are included. For an additional monthly fee you can add up to five additional voicemail boxes. Lastly, Each additional box comes with an additional 7 extensions are available.

What if I go over my purchased block of calls on my account?

A.

A charge of 1$ per call is applied for each call that surpasses the purchased bundled amount. There are no rollover calls but if surpassing the allotted bundle amount the customer has two options. First, purchase a block of additional calls mid-month at the discounted amount. Second, upgrade the monthly call bundle that is assigned to that account. These options allow for the customer to take advantage of discounted rates real-time.

What is Text Message Notification to Cell Phone?

A.

Customers can receive text messages from our receptionists to their mobile phone. Our receptionists answer calls on behalf of your company then forward the message via text. Only applicable to live answering service packages.

What is Voicemail to Email?

A.

Our phone system emails phone message files(.wav) to our customers. First, after a message has been left for a business that business receives an email with the message. Second, the phone system deletes the message from the voicemail box, consequently, emptying voicemail box.. Having a active email address and account with the appropriate audio software and speakers hardware is required. Noteworthy, most mobile phones and laptops come standard with the required equipment, as a result, most clients have the required equipment. Client needs to refer to their IT resources for any assistance.

How are Calls answered by the auto-attendant system and what is up to 7 extensions?

A.

First, our staff or the customer programs the greeting into the auto-attendant system; resulting, in a custom greeting. Second, callers are prompted to choose from the dialing options; consequently, all calls are redirected to the voicemail box or to an external client phone number. Lastly, Additional charges only apply for unique voicemail boxes and any international long distance.

This service provides fax communication through email. A fax is sent to a customers' assigned fax number; as a result, this service creates a PDF document of the fax. Finally, the PDF document is emailed to the customer.

What is Direct Call to Cell (DCC)?

The customer provides a phone number that we can forward their calls to. We then assign a telephone number that is routed directly to that number off-system the customer. Usually these calls are routed to a mobile phone.

What happens to my calls after 5 PM?

A.

Callers can be forwarded by using Direct Call Connect service;as a result, the customer receives the after hour calls. Another option is to have auto-attendant handle the call. After the auto greeting the callers will be prompted to choose from the dialing options. The caller will be directed to a voicemail box. Then the message will be sent vial email to the customer.

How do you handle the live answering for my business if you also handle live answering for many other businesses?

Our customers are assigned a phone number. When that number is called the phone system displays all the customers company information. The receptionist answers each call by using the customers custom greeting. Then our receptionist follow instructions on the account for handling our customers caller request.

What is Live Answering?

As for BSSI we have two live answering package options, additionally, numerous ala carte (add-on) services. The first package is Standard Live Answering where the receptionist takes a message from the caller and emails (text messaging available) the message to the business. Second package is Live Premium which the receptionist screens the call and proceeds per your instruction. BSSI Live Answering business hours are weekdays 9am to 5pm local time (except holidays; refer to Closure List).
